The Centre for Staff Development (CSD) in association with AI Integration Council, KPR Institute of Engineering and Technology, organized a session titled “AI Literacy and Responsible Use of Generative AI” on 05 September 2026 at the HPC Lab, Chanakya Block. The session was conducted for non-teaching staff and office assistants with a focus on the practical and responsible use of generative AI in routine administrative and office-related activities.
The session introduced participants to the basic capabilities and limitations of generative AI, with emphasis on how AI can support tasks such as drafting, rewriting, summarizing, organizing information, and preparing structured content. Participants were also introduced to simple prompting practices for office use, highlighting the importance of providing clear context, defining the required task, specifying constraints, and requesting an appropriate output format.
A major part of the session focused on responsible AI use. Participants were sensitized to the need for verifying AI-generated content before use, especially with respect to names, dates, numbers, decisions, and official information. The session also discussed the importance of protecting confidential and personal information and avoiding the sharing of sensitive institutional or individual data with public AI tools.
The practical component of the session included letter and official communication drafting using generative AI, where participants explored how rough inputs and key points could be converted into concise and professional office communications. The session also included poster design using Canva, demonstrating how AI-assisted design tools can support the preparation of visually appealing communication materials for institutional activities and events.
Through demonstrations and hands-on activities, the participants explored how generative AI can be effectively used to reduce repetitive work, improve clarity in communication, and support routine office workflows while retaining human review and accountability.
The session concluded with the key message that AI should be used as a support tool for improving efficiency and productivity, while final responsibility for verification, approval, and communication remains with the user.
